What ATS is

An ATS (Applicant Tracking System) collects resumes, extracts fields, and ranks them by keywords. Workday, Greenhouse, Taleo, and most company portals do the same: pull name, titles, dates, and skills, then decide if a human ever opens the file.

Why so many resumes fail the first screen

Rejection is often not “not good enough.” The file lost information during parsing. Results the system cannot see might as well be missing.

“My journey” or “skill radar” will not map to Experience or Skills.

The role asks for SQL and growth; the resume only says “responsible for data work.”

Use Experience / Education / Projects / Skills. Write dates as 2023.03 – 2025.06. List skills as words, not uncopyable bars. Put contact details in header text, not only in a graphic.

Avoid this

Do not bury key experience in tables or two columns, use images as body text, draw skills as dots, or upload a scan or locked PDF. Those files fail most often in Workday, Greenhouse, and company portals.

How to align keywords with the job description

The ATS matches skills, tools, and duties from the JD. Dumping nouns into a skills list is not enough—those words should appear in your bullets, and you should have done the work.

How to pick a template that still looks designed

ATS-friendly and “good-looking” are not opposites. Avoid locking body copy into a multi-column grid. Check three things: headings are real text, the timeline does not shuffle, and you can select-all after export.

  • Single-column timeline Experience top to bottom—the system extracts in reading order.
  • Standard section names A custom line can be a subtitle; keep the main heading familiar.
  • Skills as words Python, Figma, and SQL are safer than five stars.
  • A photo is fine; body copy cannot be an image A headshot does not break parsing; turning experience into an image drops the words.

Run these six checks before Workday, LinkedIn Easy Apply, or a company site. New grads too: internships, class projects, and campus roles go in standard sections.

Select-all the PDF: you should get full sentences. If copy fails, switch templates.
Headings look ordinary: Experience, Education, Projects, Skills.
Every role has start and end dates that match what you will say in interviews.
Core JD skills actually appear in experience or the skills list.
Contact details are text, not icon-only buttons.

FAQ

Will a pretty two-column template get the resume rejected?

Not always an instant reject, but two columns, text boxes, and icon bars parse badly. For job boards and large-company systems, prefer a single column, standard headings, and selectable text.

Does a resume have to be one page?

New grads and people with under three years should aim for one page. Longer careers can use two, but page one must show fit and recent wins. ATS cares about complete fields, not hitting exactly one page.

Can I use AI to write an ATS resume?

Use it to match the JD, stronger verbs, and tighter sentences—not to invent skills or metrics. List real experience, then polish with AI, and export from a template.
